Randolph PRIDE Meeting Minutes

Monday, June 4, 2018 at 7:45 p.m. –  VFW

Attendance - 10
Treasurer’s Report – Estimate $5000 to $6000

There was a request for volunteer hours to be recorded.
There is a family interested in helping to restore the basketball court at the park.  Mitch put up the net on the tennis court.  A request to have the piles of rock moved from the parking area above the court was made.  It will be brought up at the city council meeting.
We still need to seal the floors and walls of the new park restrooms. Duane will pick up the sealant so it is available when we are ready.
We have received confirmation from the bounce house vender, the DJ, and that Steve will spray for mosquitos before the celebration.
Blake, Tara and Brittany have agreed to run the beer garden this year with Vic and Tamie showing them the ropes.
The flyers are ready and are being distributed along with the raffle tickets and raffle flyer.
The cheerleaders will be hosting a fundraising horseshoe tournament across the street west of the beer garden.
Trail Life is selling lemonade.  They will also help the FFA with cleanup on Sunday morning after the celebration.
A vendor selling wood fire pizza will also be a celebration this year, but not serving during the BBQ.
A worknight is scheduled for Tuesday, June 26th to prepare for celebration. 
The next meeting will be Monday, July 23, 2018 at 7:00 p.m.

Tuesday, May 21, 2018 at 7:30 p.m. –  VFW

Attendance - 8
Treasurer’s Report – $7,467.06

There was a request for volunteer hours to be recorded.
Newsletter items for June will include celebration, fish fry Volunteer Spot, parade, ball schedule and work nights and possibly the fireworks stand schedule.
Four new fireworks signs will be purchased to replace the old ones.
We may finish any painting and sealing the restrooms for our week of PRIDE project.  We can do the outside, but the floors will require more planning.
Since we haven’t been able to contact the bounce house folks we’ve used in the past, we will check other options not to exceed $1000.
The train for kids will be available for us to use.
A few sponsors need to be contacted as we haven’t heard anything from them.
Brittany and Tara attended the meeting to learn more about running the beer garden this year.
Nick Seaton will run the ball tournament and BVBA will have the concession stand.
The next meeting will be Monday, June 4, 2018 at 7:30p.m.

Tuesday, May 8, 2018 at 6:30 p.m. –  City Park

Attendance – Numerous folks for the ceremonial first flush at our new park restrooms – cookies and tea were served
Business meeting began around 7:00 p.m.

Treasurer’s Report – Not given since Anthony was absent

There was a request for volunteer hours to be recorded.
Newsletter items for June will include celebration, fish fry Volunteer Spot, parade, ball schedule and work nights and possibly the fireworks stand schedule.
The budget was set for celebration.  Total budget is $8975.00
We need to order raffle tickets, get insurance and line up mosquito spray to prepare for celebration. 
Elwin will work on four new or restored fireworks signs before the fireworks stand opens this year. 
We may finish any painting and sealing the restrooms for our week of PRIDE project.  We will get the tennis net out and see what shape it is in.
Sanding and staining the bridge in the park will be scheduled on a work night.
After celebration, we will work on grants and Community of Excellence application.
The next meeting will be Monday, May 21, 2018.

Tuesday, April 17, 2018 at 7:30 p.m. – VFW

Attendance – 5
Treasurer’s Report - $8,572.66

Mitch requested for volunteer hours to be recorded. The 1st qtr report was due April 15th, so we need to make sure we get that taken care of.
Discussion was had to include a volunteers needed for celebration to try and engage new people in the community to help with the event. Newsletter is to be ready to print on April 30th.
Basketball and tennis court options were discussed and tabled in order to wait and see what kind of money we could qualify for from a grant after getting back to community of excellence standards.
Priming & painting the restroom was discussed. This needs to get done ASAP so the bathrooms can be opened. Bathrooms will not be opened until they are completely done. A goal of May 8th was set to try and get this bathroom complete. People to invite to the first flush event are: RC Commissioners, Parks Board, Ginger, Architect/Engineers, Wild Life & Parks, Brian McNulty, Jeep Club, Swartz family, and any others that privately donated to the building of the bathroom.
A motion was made by Janie and seconded by Tamie to purchase a box of each color or Christmas light bulbs with purple being the color to replace the orange lights because those have not been lasting as well as the rest. Additional wiring and plugs are to be purchased for the beer garden and gazebo for celebration as well. Tamie and Mitch will work on getting that measured up to determine how many extra red, blue, and warm white bulbs to purchase for this. Motion passed 5-0.
Week of PRIDE events were discussed and painting the bathrooms and possibly putting up the tennis net at the basketball court was options that were discussed to be recorded for this.
Mitch moved and Anthony seconded to put all money raised from Quarter Craze into the We Care Fund. In addition all other expenses for Thank You post cards, newspaper ads, chips, and paddles are to be paid by PRIDE and not take any money from the We Care Fund for these expenses. Motion passed 5-0.
Anthony and Tamie will work on getting sponsor letters merged and out by the coming weekend April 21st. 
There are two new grants available through partnership with the Mason’s and PRIDE. Community promotion grant does not require community of excellence status and is for $2000. This can be used for Websites, FB ads, signage, printed materials, etc. We had discussion about looking into this further for possible funding for the new city sign, or park sign as options to use this funding.
Volunteers Impact PRIDE (VIP) is another new grant available through partnership between PRIDE and Kansas Masons. This grant is a match type grant where we get 60% funded through the grant, up to $15,000. The other 40% needs to be donated labor, volunteer time, equipment, etc. So $25,000 is the max amount we would be looking at for this grant.  This grant requires community of excellence status, so we don’t currently qualify for it, but applications are due in October for community of excellence and applications for the VIP grant are due in February, so this would be a good option for landscape improvements in the park or updating the basketball court next year. Keep this on our radar for future month’s discussion.
Discussion was had about high school kids doing community service in the Randolph. Marion, the high school principal is looking for ideas for kids to help in the community. We felt that cleaning up the park from sticks, rocks, and other debris was 1st on our list, but painting fire hydrants the correct colors for Riley County new flow standards was another option that was discussed.
Several items for celebration were discussed; Zach Winter - DJ to the Max has been booked for music, Bounce Houses from last year to be contacted by Mitch to see if they can do it again this year, but don’t set up until 5pm, Liquor license should be good through June 30th, so we don’t need to re-apply for this, advertising and other celebration items to be discussed at May 8th meeting.
The next meeting will be Tuesday, May 8th, 2018.
